Challenge
A financial services company was preparing an exclusive early-access launch and needed to control who could sign up. Only users with valid access codes should be able to create accounts, and the system needed to preserve referral attribution across the entire onboarding journey.
Without controlled access, the launch risked unauthorized signups and a diluted early-adopter cohort. Without referral tracking, the marketing team would have no visibility into which channels and partners were driving the most valuable users.
Solution
84EM built a custom WordPress plugin that validates access codes against HubSpot CRM in real time. Each code is tied to a specific contact and invitation status in HubSpot – only users with a confirmed invitation can proceed to account creation.
When users enter valid credentials, the system routes them automatically to the appropriate onboarding flow with their referral source and product selections intact. Information entered at any point in the journey carries forward, so users never re-enter details across multiple steps.
The marketing team has full visibility into waitlist activity through built-in reporting, including redemption rates and which referral channels performed best.
Key Capabilities
- HubSpot-backed code validation. Each access code is verified against a contact’s invitation status in HubSpot CRM in real time – codes are bound to specific email addresses and must match the contact record to proceed.
- End-to-end data continuity. Referral sources, email addresses, product selections, and marketing attribution carry through the entire site visit automatically, with no gaps as users navigate between pages.
- Automatic form population. When users open signup forms during their session, their email address, referral code, and product selection are pre-filled from session data.
- Administrator reporting. Waitlist codes and redemption status export to CSV, giving the marketing team an accurate record of which codes were redeemed and which referral channels performed best.
Results
The exclusive launch ran without unauthorized signups. Only users with valid HubSpot-linked invitation codes could create accounts, giving the campaign team a controlled, verified cohort of early adopters to build from.
Referral attribution survived the entire onboarding journey. Every signup traces back to the channel and partner that referred them – no gaps where tracking was lost between pages or steps.
The friction of re-entering information across multiple forms was eliminated. Email addresses, product selections, and referral codes carried forward automatically, giving users a smoother path through signup.
CSV reporting gave the team real-time visibility into redemption rates and referral channel performance throughout the launch period.
