Secure Document Portals

Document portals built into the website you already run: passwordless login, role-based libraries, files no one can reach by URL, time-limited access, and a log of every download.

A library for each audience

Separate portals for groups like board and staff, each with its own login page and document categories.

Passwordless login

Single-use, time-limited login links sent by email, so no one has another password to forget.

Files off the public web

Documents stored outside the public web directory, reachable only through an authorized link.

Every download logged

Who downloaded which document, when, and from where, recorded for governance and follow-up.

An email attachment can't be recalled, versioned, or tracked

Board minutes, financial reports, and gated sales materials often go out as email attachments or shared-drive links. Versions multiply, nobody can say who opened what, and once a file lands in an inbox there’s no controlling where it goes next.

84EM builds portals that keep those documents in one place. For a nonprofit arts organization, that was separate board and staff portals with passwordless login and a download log. For a professional services firm, it was gated documents that open for 24 hours after a visitor submits a form.

How does a passwordless portal work?

A board member or staff member enters their email on the portal’s login page and receives a single-use link that expires. Clicking it signs them in to their own library. Nobody creates or remembers a password, which matters when the people using the portal are volunteer board members who are often not technical.

Each portal has its own login page, access rules, and document categories. Files sit outside the public web directory with hashed filenames, so a copied URL goes nowhere without a verified sign-in.

Every download is recorded with the user, the document, the portal, and the IP address, giving the organization a record of who accessed which documents and when. Administrators manage it all inside WordPress, with no extra software licenses.

What does 84EM build for sharing sensitive documents?

84EM builds document portals with separate libraries for each audience, passwordless magic-link login, file storage outside the public web directory so documents can’t be reached by URL, time-limited access for gated downloads, and a log of every download with who, what, and when. It all runs inside WordPress, with no third-party file sharing service.

Multi-audience document portals

Separate libraries with their own login pages, access controls, and document categories for each group, built into the site the organization already runs.

Passwordless magic-link login

Single-use, time-limited links sent by email in place of passwords, for audiences who won’t manage another set of credentials.

Protected file storage

Files outside the public web directory with hashed filenames, downloadable only after verified authentication or through a valid, time-limited link.

Gated access with lead capture

Form submissions that create the lead and grant expiring document access in one step. See lead capture, qualification and routing.

Download audit logs

Every download recorded with user or lead identity, document, time, and context, for governance, compliance, and sales follow-up.

A members-only portal or gated access for prospects?

It depends on who the documents are for. A portal fits a known group who return for new material, like a board or staff. Gated access fits prospects who trade their contact details for a document, with the download tied to the lead.

Build a members-only portal when

  • The audience is a known group, like a board or staff
  • They come back for new documents over time
  • Different groups should see different libraries
  • Governance calls for a record of who accessed what

Gate access for prospects when

  • Documents are part of lead generation
  • Visitors should get access by submitting a form
  • Access should expire after a set window
  • Sales needs to see who downloaded which material

Frequently asked questions.

Can 84EM build a secure document portal for our board or staff?

Yes. 84EM builds document portals inside the website you already run, with a separate library for each audience, passwordless login by single-use email link, and a record of every download. Board members and staff stop searching email threads for the latest version.

Can 84EM control who accesses sensitive documents and track downloads?

Yes. Files are stored outside the public web directory, so they can only be downloaded after a verified sign-in or through a valid, time-limited link. Every download is logged with who downloaded which document and when.

Can 84EM gate documents behind a lead capture form?

Yes. A form submission creates the lead and grants access to the protected documents in one step. Access expires after a set window, 24 hours on one build, and every download is tracked against the lead for sales follow-up.

How does 84EM handle website security?

Regular updates, vulnerability scanning, malware detection, access controls, two-factor authentication, strong password enforcement, SSL/TLS, database hardening, file monitoring, audit trails, least privilege principle, and backup/disaster recovery.
